You need them to organize your life, but sometimes they can just control you. We all crave organization yet somehow drown in our own efforts to stay organized. There was a time when my to-do lists had to-do lists. No joke. I felt like I was constantly treading the sea of to-do lists, just moments away from being pulled under by a tidal wave of tasks.

This is when I recognized that my to-do lists needed an overhaul and that I should probably hire a virtual assistant to take control of my day-to-day tasks again. I needed to learn how to organize my to-do lists and get some help to do so.

Recognizing the Signs of Overload

One fine Monday, I looked around my workspace and saw sticky notes, napkins, apps, and even a rogue receipt with scribbled tasks on it. It hit me that my method—or lack thereof—was not just ineffective but a total productivity killer. My brain was in a constant state of panic, trying to remember if I’d forgotten something crucial. Ugh. When you’re running 2 or 3 different projects with a number of tasks, even if they are kept in a tool like Asana, it’s hard to not feel overwhelmed by it all.

In my quest to master my to-do lists, I tried everything. Here’s the not-so-glamorous rundown:

Sticky Notes

This worked for about, oh, five minutes. My desk became a crime scene of pastel squares that ended up in the trash. Solution longevity: SHORT. When sticky notes kept piling over my laptop, I moved to a notepad, but then this failed as how could I maintain different projects on a pad?

Digital Overload

I hopped on the digital bandwagon. Each project management tool seemed promising until I found myself managing my apps for different clients instead of my tasks. Irony at its finest. Solution longevity: MEDIUM.

Finding The Method That Works (For Real!)

After a lot of trial and error and a tiny sprinkle of desperation, I discovered a system that actually worked. It wasn’t about finding the right tools but about changing my mindset and process for getting my tasks and projects aligned.

Prioritization and Realistic Goal Setting

First things first: not every task is of equal importance. I started categorizing tasks into levels of urgency and importance. “Urgent but not important” tasks were usually distractions in disguise. Trust me, the fridge can wait to be cleaned.

I also got real about what I could achieve in a day. Rome wasn’t built in a day, and my empire wouldn’t be either. I aimed to accomplish three major tasks a day, and anything else was a bonus. This shift actually did wonders for my mental health and really made my to-do lists organized.

The Magic of Time Blocking

This was a game-changer. I assigned specific blocks of time to each task, including breaks. Funnily enough, this made me more productive and less overwhelmed. I even blocked out time for “thinking” and “creativity,” allowing space for my entrepreneurial spirit to breathe. My calendar started to be chunked out hour by hour, and I did that with my next step.
